Applicable legal framework

MEIKAI operates in compliance with:

• CH nFADP / FADP , Swiss Federal Act on Data Protection (revised), in force since 1 September 2023
• EU Regulation (EU) 2016/679, GDPR, applicable to processing that involves natural persons in the European Union

Switzerland is recognised by the European Commission as a country with an adequate level of data protection.

Data we collect

Data you provide directly

We collect information you voluntarily share through the contact form or by email:

• Name and surname
• Email address
• Company or business name
• Operational information shared during the Clarity Scan or consulting services

Technical data

This website does not use tracking cookies, third-party pixels or behavioural analytics tools. We do not collect navigation data, we do not build user profiles and we do not share data with advertising platforms.

Purposes and legal basis for processing

We process your data exclusively for the following purposes:

• Service delivery: responding to enquiries, delivering the Clarity Scan and subsequent services. Legal basis: performance of a contract.
• Operational communications: sending quotes, reports, project updates. Legal basis: performance of a contract / legitimate interest.
• Legal compliance: retaining tax and contractual documentation as required under Swiss law. Legal basis: legal obligation.

We do not process your data for direct marketing purposes without explicit consent.

Data retention

Data is retained for the minimum period necessary to deliver the service and meet legal obligations:

• Contractual and billing records: 10 years (Swiss tax obligation)
• Operational project correspondence: up to 3 years after the end of the engagement
• Contact requests with no follow-up: deleted within 12 months

Data transfers

Your data is processed primarily in Switzerland. We may use cloud-based tools with servers in Europe (EU/EEA) or in countries recognised as providing an adequate level of protection by both Switzerland and the European Commission.

We do not sell, transfer or disclose your data to third parties for commercial purposes.

Your rights

Under the nFADP/FADP and the GDPR you have the right to:

• Access: obtain confirmation of processing and a copy of the data held about you
• Rectification: request correction of inaccurate or incomplete data
• Erasure: request deletion of your data, subject to any retention obligations
• Restriction: request that processing be suspended in certain circumstances
• Portability: receive your data in a structured, machine-readable format
• Objection: object to processing based on legitimate interest
• Withdrawal of consent: at any time, without affecting the lawfulness of prior processing

You also have the right to lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC) in Switzerland, or with the supervisory authority in your country of residence if you are in the EU.

Security

We implement appropriate technical and organisational measures to protect your data against unauthorised access, loss or disclosure. Communications are transmitted over encrypted channels (TLS/HTTPS). Access to data is restricted to those with a genuine operational need.

We may update this policy in response to regulatory or operational changes. The date of the most recent update is shown at the top of this page. For material changes affecting data already collected, we will notify you directly.
